Scheduling

Imaging sessions are scheduled using the modality specific calendars located at www.csmcresearch.calendarhost.com. Researchers will need to register for an account and login in order to schedule services. Please be sure to schedule all time that will be needed in the scanner room, including set-up and clean-up. Information on billing and rates can be found here.

Optical & microCT

  • Hours of operation: Mon-Fri, 8:30am-4:00pm

9.4T MRI (Small Animal)

3T MRI (Human & Large Animal)

  • Hours of operation: Mon/Fri 8am-6pm, and Tue-Thur, 7:30am-8:00pm

  • Researchers may request a fixed time slot (if available), and may also schedule studies directly into the calendar at any available slot during normal hours of operation. Any changes to an assigned time slot are made by emailing Group BIRI RIC Scheduling (GroupBIRIRICScheduling@cshs.org).
  • The "start time" is when the scanner room will be needed for your study. All animal studies must include 30 mins for setup. The "end time" is when the scanner room will no longer be needed for your study (including post-imaging cleanup: 10 mins for human studies, 15 mins for animal studies).
  • For animal studies:
    • The user is responsible for scheduling transportation with Comparative Medicine.
  • For human studies
    • Users are responsible for confirming reservations with their human subjects at least 2-3 days in advance to avoid last minute cancellations and no-shows.
    • No identifiable information, such as subject name, DOB, phone number, are allowed to be entered in the calendar or attached notes.
    • Volunteers should arrive at least 30 mins prior to the scan start time to allow for consenting, MR safety clearance, and gowning. Studies involving any additional pre-imaging procedures or special preparation should arrive earlier. Any pre-scan activity not performed in the scanner room should not be included in the reserved scan time.
  • Cancellation Policy (Effective 9/1/2012):
    • For 3T cancellations 7 or more days in advance, the user emails Group BIRI RIC Scheduling (GroupBIRIRICScheduling@cshs.org) to release the slot and is no longer responsible for the reserved time. Users are strongly encouraged to release unneeded slots with as much advance notice as possible.
    • For 3T cancellations less than 7 days in advance, the user emails Group BIRI RIC Scheduling (GroupBIRIRICScheduling@cshs.org) and find a replacement subject or user in order to avoid the last minute cancellation penalty. If the time is unused, the user will be notified and a penalty of $200/hr of reserved time will apply unless the cancellation was due to an unavoidable situation such as subject illness/death, no-show, etc. In these cases, a RIC Cancellation Penalty Waiver Request form will be required to waive the fee.
    • The PI is responsible for notifying Comparative Medicine of any scheduling changes.
